Short answer: an internal AI assistant is a search tool where staff ask questions in plain language and receive answers taken from the company's own documents - policies, manuals, agreements, routines. It is based on the same technology as an AI chatbot, but is turned inward towards the organization. What is the problem it solves?
In most companies, knowledge is scattered. A little in a folder, a little in an intranet, a little in a shared folder that no one can really find in, and a lot just in the head of Anna, who has been here for 15 years. When someone needs an answer, time is spent searching, asking around or guessing.
An internal AI assistant gathers the scattered knowledge behind a single search box. Instead of searching in ten systems, you ask the assistant, who reads through the material for you and answers - preferably with reference to which document the answer came from, so you can double check.
How does it work technically?
The technique is calledRAG(Retrieval-Augmented Generation). It sounds complicated, but the idea is simple: firstlookingsystem up the most relevant paragraphs in your documents, thenformulatesa language model an answer based on those particular paragraphs. Simile: the assistant is a new employee who doesn't know anything about you yet, but who can look up all your files in a flash before answering.
It also means that the assistant is not inventing freely. It responds based on what it found in your material, and can show the source. If it finds nothing relevant, it should say so – not guess.

That's how you get started - step by step
1. Select a defined area
Don't try to enter everything at once. Choose an area where a lot of time is spent searching - for example, HR questions or a technical manual. Build, test, learn, then expand.
2. Collect and clean the documents
Collect the documents to be included and clean out old ones. If there are three versions of the same policy where two are out of date, the assistant risks answering incorrectly. A clean surface is half the job.
3. Determine permissions
This is crucial. Not everyone should see everything. Payrolls, sensitive personnel matters and trade secrets must be protected. A well-built assistant respects permissions, so that an employee only gets answers from documents he actually has the right to see.
4. Decide where the data can be located
Should your documents be sent to a cloud service in the US, or processed within the EU? For sensitive material, it can be decisive. This is a question to decidebeforeyou start, not afterwards.
5. Test with real questions
Have a few employees ask their most common questions and review the answers. If something goes wrong, it almost always depends on the basis - adjust the documents and test again.

Is it safe to upload sensitive documents?
It can be, if the assistant is built with authorization control and you have control over where the data is processed. If you want to keep everything within the EU, or even within your own systems, it can be solved - but it must be planned from the start. Never secrets in a system you don't know where it stores them.
What happens if the assistant answers incorrectly?
This is why attribution is so important. When the assistant shows which document the answer came from, the employee can click in and double-check. Treat it as a quick colleague who points you in the right direction – not as an oracle.
Do we have to have a lot of documents for it to be worthwhile?
No. Even a medium-sized company with scattered routines and manuals notices a difference. The value is in the time that would otherwise be spent searching and asking around.
