Short answer: when do you need a WMS?
You need an inventory system when manual handling starts to cost more than the system would. Concrete signs:wrong balancewhich leads to backorders, customers waitingfor the staff to look for goods, anderror in pickingwhich brings returns and dissatisfaction. When Excel and gut feeling are no longer enough, it's time.
WMS stands for Warehouse Management System. Think of it as the warehouse's GPS and conductor in one: it knows where everything is and tells staff what to do next.
Five Signs You've Outgrown Your Current Way
- The balance is not correct:the system says the item is there, but the shelf is empty.
- Picking errors increase:customers get the wrong product and returns grow.
- It takes too long to find itemsin the warehouse.
- You are dependent on individualswhich has the layer in the head.
- You cannot growwithout the chaos growing at the same rate.
A simple sanity check: if a new employee cannot pick the right order without asking a colleague, then the knowledge is in their heads instead of in a system. It doesn't scale.
What does a WMS actually do?
- Keep track of balancein real time, so that the store does not sell what is out of stock.
- Control the picking, often with barcodes, so that the right item is picked every time.
- Optimizes inventory, for example by placing top sellers near the packing tables.
- Gives an overviewover what moves and what lies still.
How much does a WMS cost?
It varies greatly depending on the solution and size. Roughly, it can be broken down like this:
- Built into your e-commerce or business platform:cheapest, sometimes included. Goes a long way for smaller stocks.
- Stand-alone standard WMS (cloud service):usually a monthly cost. More powerful, suitable for growing businesses.
- Customized or custom-built solution:higher initial cost, but shaped according to your flows.
Don't forget peripheral costs: barcode scanners, label printers, integration with e-commerce and business systems, as well as staff training. They are often at least as important as the license.
How do you calculate the investment?
Set the cost against the cost of today's problems: time spent searching, returns due to picking errors, lost sales when the balance is incorrect, and the risk of losing customers. When those sums begin to approach the cost of the system, the decision is simple.
Standard or custom?
Most e-tailers start with a built-in or standardized WMS. It goes a long way. Customized only becomes interesting when your flows are so special that the standard forces you into inefficient routines, or when you need deep integrations with other systems.
